PDI Administrative Coordinator

Position Description:

The PDI Administrative Coordinator is responsible for the overall oversight and management of the offices of PDI, insuring the efficient and effective operation of all business functions and the support of project work. The Administrative Coordinator serves as office manager to the Executive Director of PDI and oversees the support for the other Project Coordinators. The incumbent supervises a Senior Office Assistant, Office Assistant, and Web and Database Administrator and coordinates their work. The Administrative Coordinator is responsible for managing budgets, regular reporting, human resources, procurement, and publishing projects. S/he has a significant role in project management. The incumbent researches and resolves multiple assignments, sets priorities in a timely and efficient manner, works with RF-Central Administration in appropriate matters, observes all policies and mandated procedures, and consistent with RF policies, communicates with contracted program service providers and vendors regarding fulfillment of obligations.

Duties and Responsibilities:

Reporting to the Executive Director, the Administrative Coordinator will:
  • Provides administrative support to the Executive Director and oversee support to Project Coordinators.
  • Develops and maintains data that supports the efficient work of the department.
  • Monitors all budgets, reports status of budgets to ED on a periodic basis, reconciles budget reports with RF and Central Administration offices, and makes recommendations to address budget issues as they arise.
  • Contributes to project work by participating on project teams.
  • Collects and analyzes data as becomes necessary to assist program and project functions.
  • Works closely with others in administrative and program units to prepare, publish and distribute all products written and published by the department.
  • Establishes record keeping protocols and procedures to insure the security of the unit.
  • Provides professional and technical support to project staff.
  • Responds to requests and inquiries in a timely and thorough manner.
  • Assists in recruiting, screening, hiring, and training employees directly subordinate, as well as monitor work, provide orientation, and draft performance evaluations and recommend related personnel actions.
  • Assists in recruiting, screening, and overseeing RF process for hiring other staff not subordinate to the Administrative Associate. Provides orientation to office, RF, and Central Administration policies and procedures.
  • Monitors time and leave of staff.
  • Oversees planning, minutes production, and attends meetings.
  • Performs other duties as assigned by the Executive Director.

Qualifications:

  • A Bachelor’s Degree in a related field from an accredited institution and two years related administrative experience.
  • Knowledge of major office computer hardware and software applications including but not limited to Word, Access, Excel, Publisher, PowerPoint, Adobe Illustrator, and Adobe InDesign.
  • Ability to work effectively with staff, associates, and internal and external constituents.
  • Ability to communicate effectively with diverse populations, ability to listen and respond to others with tact, diplomacy, and respect.
  • Ability to apply and create state-of-the-art solutions to assignments.
  • Ability to respond calmly to complex and urgent issues.
  • Ability to organize and administer complex systems; ability to observe and manage details, and ability to manage multiple priorities.
  • Ability to develop and manage effective tracking and monitoring systems.

Salary: $42,000 - $47,000 annually

IFCC Project Associate

Position Description:

The ACS/CUNY Informal Family Child Care Training Project is engaged in an ongoing assessment of the training needs and community resources available in New York City to informal family child care providers. Through this project, CUNY convenes a citywide advisory panel, provides direct training and is developing a training plan to address the needs of informal family child care providers. The Project Associate is responsible for providing key support in the implementation of IFCC’s projects and the achievement of the organization’s goals.

Duties and Responsibilities:

  • Develop and present curriculum and materials for workshops for informal family child care providers
  • Manage workshops and events for informal providers
  • Lead in design, production, and dissemination of IFCC publications and other outreach materials
  • Assist with the management and assessment of support staff: trainers, college intern, volunteers and hired consultants
  • Research community partners that support the needs of informal providers in New York City
  • Represent the organization at conferences and other events in the field
  • Provide technical assistance to informal family child care providers through e-mail, hotline, and mailings
  • Maintain database and records of informal provider trainings
  • Undertake special projects at the discretion of the Executive Director and Project Coordinator

Qualifications:

  • Bachelor’s degree; master’s degree preferred
  • Two to three years of experience in similar work; focus on early care and education preferred
  • Excellent oral and written communication skills
  • Excellent research, analytical, and organizational skills
  • Experience working collaboratively
  • Flexibility and enthusiasm for multi-tasking
  • Fluency in Microsoft Office (Excel, Word, PowerPoint, and Access)
  • Fluent Spanish speaker and writer
  • Nonprofit experience a plus

Salary: $47,000 - $50,000 per year depending upon experience

IFCC Project Assistant

Position Description:

The IFCC Project Assistant is responsible for providing support in the implementation of IFCC’s projects and the achievement of the organization’s goals.

Duties and Responsibilities:

Reporting to the IFCC Project Coordinator, the IFCC Project Assistant will:
  • Research and assist in the production of a variety of periodic narrative, accounting, database and statistical reports.
  • Present on and off site workshops throughout NYC for informal providers and others as designed by the leadership team.
  • Facilitate access to resources and technical assistance and coordinate curricula and related materials for special projects.
  • Translate written materials, documents, curricula and oral presentations to another language.
  • Perform general administrative tasks, including but not limited to, maintaining databases, scheduling meetings, generating meeting minutes, etc.
  • Other duties as assigned by the IFCC Project Coordinator and/or the IFCC Project Associate.

Qualifications:

  • Bachelor’s degree and at least two years of progressively responsible administrative experience in a human services/education environment.
  • Fluency, including translation skills, in Spanish or other language preferred.
  • Experience managing and coordinating project technology (data collection and management, database and web site work).
  • Experience coordinating multiple projects and workgroups.
  • Excellent time management and telephone skills.
  • Ability to work independently and collaboratively in a fast-paced, demanding, and complex work environment, carry out complex assignments and adapt to changing situations and priorities.
  • Excellent knowledge of Microsoft Word, Excel, PowerPoint, Publisher and Access. Strong computer skills required.
  • Strong reading, written, and oral communication skills required.
  • Ability to synthesize large amounts of information.

Salary: $34,000 - $40,000 DOE

Early Childhood Education Trainers (Part-Time)

Position Description:

We are searching for trainers to provide professional development to family child care providers in creative, sequential formats, in exciting venues on a part-time basis.

Duties and Responsibilities:

Duties and responsibilities vary by assignment. Early Childhood Education Trainers may:
  • Arrange for and deliver training (workshops) at resource centers located at borough specific CUNY campus based child care centers.
  • Deliver training (workshops) in the evenings and on Saturdays to support collaborations with ACS and other partners.
  • Develop liaisons with local community based entities that could provide training and support the needs of informal providers.
  • Provide follow up home visits to consult with informal providers in support of implementation of training.
  • Manage a lending library of materials and resources for informal providers.
  • Coordinate services and resources with host child care center.
  • Maintain records and reports on activities of resource centers.
  • Work between 4-22 hours per week depending upon assignment.
  • Available for trainings on Saturdays, evenings, and weekdays.
  • Other duties as assigned by the Project Coordinator and/or Executive Director.

Qualifications:

  • Bachelor's degree in Education, Psychology, Social Work or related field.
  • Working knowledge of New York City's early childcare system.
  • Experience with family child care a plus.
  • Ability to work in a fast paced start-up project.
  • Excellent organizational skills.
  • Bilingual (English & Spanish) required.

Salary: $34.00 - $40.00 per hour (DOE)
